2. Complete the online cancellation form with your membership number, name and reason for cancelling.
3. Submit the form and save any confirmation screen or email.
4. Check your next payment date: if the form is submitted 5 working days or more before that date, cancellation will end at the end of the current paid month; otherwise at the end of the next paid month.

Email - cancel by email

1. Compose an email to the Gym's official contact address used in your membership communications. If your agreement is managed by Harlands Services Ltd, contact Harlands as instructed in your paperwork.
2. Include full name, membership number, preferred cancellation date and postcode.
3. Request a written confirmation and keep a copy of the sent email and any automated response.
4. If you do not receive confirmation within 5 working days, follow up by registered post.

Post - registered letter

1. Write a concise cancellation letter including full name, membership number, date of birth, membership address and signature.
2. Send the letter by registered post to: TruGym, Unit 1, The Clock Tower, Station Approach, ME4 6PZ Chatham, United Kingdom.
3. Keep the postal tracking receipt and proof of delivery.
4. The effective cancellation date depends on when the Gym receives the notice relative to the usual payment date (5 working day rule).

Phone - cancel by telephone

1. Locate the phone number given in your membership paperwork or in your online account. If your contract references Harlands Services Ltd for membership management, use the contact details provided by Harlands.
2. Call and state your wish to cancel; request an immediate confirmation email.
3. If only verbal confirmation is given, follow up with a written email or registered letter because verbal cancellations may not be accepted.

Moving - relocation

Rule: If you move out of reasonable travelling distance from the gym and your membership contract allows termination for relocation, provide proof of new address such as a signed tenancy agreement, completion statement or utility bill dated within the last three months. TruGym's public terms require written notice; the contract should be checked for any relocation clause.

Required documents: tenancy agreement or mortgage completion statement or utility bill plus written cancellation request.

Applicable law: Consumer Rights Act 2015 for unfair contract terms if a relocation clause is unreasonably restrictive.

Price increase

Rule: If TruGym increases your membership price during a fixed term and your contract includes a right to exit for price increases, you may cancel. Provide the written notice from the gym showing the price change or a screenshot of the increase and your written cancellation.

Death of subscriber

Rule: Death of the named subscriber is a legitimate ground to end a contract. The executor or next of kin should send a copy of the death certificate and a cancellation request to the gym's contact address.

Required documents: death certificate and proof of relationship plus written cancellation request.

Legitimate ground - illness or injury

Rule: TruGym should not enforce an unfair barrier to cancellation for long-term illness or disability. Provide medical evidence if the contract requires it. Contracts signed before 1 October 2015 are assessed under the Unfair Terms in Consumer Contracts Regulations 1999; contracts on or after 1 October 2015 are assessed under the Consumer Rights Act 2015.

Required documents: a letter from a doctor or consultant confirming the inability to use the facilities and the expected duration, plus a written cancellation.

Applicable law: Consumer Rights Act 2015; Unfair Terms in Consumer Contracts Regulations 1999 for older contracts.

End of commitment

Rule: If you have a fixed-term 6 or 12 month paid-in-advance membership, the fixed term ends on the stated date. For rolling monthly contracts, provide the written notice; the 5 working day rule applies relative to your payment date.

Required documents: membership contract showing commitment length and a written cancellation or online form submission.

Cooling-off period (14 days)

Rule: For off-premises, online or phone sign-ups you have a 14-day cooling-off period from the day after membership confirmation (Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013). If membership was agreed off-site and managed by Harlands Services Ltd, cancellation during this 14-day period can be done by post, email or telephone as instructed by Harlands.

Required documents: your written cancellation within 14 days and evidence that facilities were not used or, if used, agreement to a deduction for use.

Before you cancel: negotiate

Retention offers: Research did not reveal widely published standard retention discounts from TruGym. If you want to keep your membership, request these options in writing: temporary freeze, reduced rate for one month, or transfer to an off-peak or student rate if eligible. If your account is managed by Harlands Services Ltd ask the Harlands representative for retention offers and request that any offer be sent by email for proof.

How to ask: Send a polite written email or use the cancellation request form and add a sentence asking whether a freeze, discount or alternative tier is available. Save the reply.

Check final billing

After you cancel, verify the date your cancellation takes effect and the last payment date. If cancellation was submitted fewer than 5 working days before payment, expect one more payment. Keep bank statements proving final payment and the cancellation confirmation.

Access and membership end

Your membership remains active until the end of the paid month that the cancellation covers. Save any confirmation email or the registered post receipt as proof of cancellation date.

Data and re-activation

Request an account data export if you want a record of payments. If you want to rejoin later, check whether reactivation fees or joining fees apply in the future and whether promotional fixed-term rates are available.
