Harlands Group Ltd. is a UK-based membership payment and direct debit management company that administers membership schemes, home emergency assistance and appliance warranty programs on behalf of clubs, housing associations, local authorities and utility companies.

What Harlands does for members

Harlands collects Direct Debit payments and processes membership administration for partner organisations. Harlands does not set membership prices for end users; those are set by the club or organisation that contracts Harlands to manage payments.

Email

1. Compose an email to [email protected] or your club that includes your full name, membership reference (if known), address and a clear statement: "Please cancel my membership with immediate effect" or with the date you want the cancellation to take effect.
2. Attach any supporting documents if cancelling for a specific reason, for example a signed tenancy change for relocation proof.
3. Keep the sent message and request a reply or acknowledgement; cancellation requests are processed from the date the email is received.

Post (registered letter)

1. Write a signed cancellation letter including the same information as required by email.
2. Send by recorded delivery to: Harlands, PO Box 619, RH16 1WY HAYWARDS HEATH, United Kingdom.
3. Keep the proof of posting and the delivery receipt; your cancellation is effective from the date Harlands receives the letter.

Phone

1. Call your club or Harlands Helpline and explain you wish to cancel. Note the name of the agent and time of the call.
2. Follow up with an email or recorded letter quoting the phone call to create written proof.
3. If cancelling due to breach or service fault, ask the agent to log the complaint formally.

Via your club (on-premises)

1. Visit the club where you joined and request cancellation in person. Ask staff to submit the request to Harlands on your behalf.
2. Obtain a signed receipt or confirmation email from the club recording the cancellation.
3. Monitor bank statements to confirm the final Direct Debit collection is the correct amount and date.

Direct Debit cancellation with your bank

1. Do not cancel the Direct Debit before your final contractual payment unless you have an accepted exception reason. Harlands advises cancelling the Direct Debit with your bank after the final minimum period payment has been taken.
2. If you cancel the Direct Debit too early, the club may treat the membership as still active and pursue collection.
3. Keep the bank confirmation of the Direct Debit cancellation as proof of instruction.

Relocation - moving more than 15 miles

Harlands accepts relocation as a valid reason when you move more than 15 miles from the facility. Required proof: a signed tenancy agreement, completion statement, or utility bill showing the new address and date of move. The rule follows Harlands' published exception list.

Applicable law: Consumer Rights Act 2015 when service performance is affected by distance.

Long-term illness or injury

Harlands accepts long-term illness or injury lasting more than 3 months as grounds for cancellation. Required proof: medical certificate or letter from a GP confirming the condition and expected duration.

Applicable law: Consumer Rights Act 2015 - services must be performed with reasonable care and skill if the service cannot be used due to illness.

Redundancy or pregnancy

Harlands accepts redundancy and pregnancy as reasons for early termination when appropriate supporting documents are provided. Required proof: redundancy letter from employer or MAT B1 maternity certificate. Harlands lists these among accepted cancellation reasons.

Applicable law: Consumer Rights Act 2015.

Price increase

If your contract includes a unilateral price increase and you were not given a right to object, you may cancel. Required proof: notification of price increase from the club or Harlands. If facilities are materially reduced by the price rise, the Consumer Rights Act 2015 applies.

Death of the subscriber

Cancellation for bereavement is accepted with a copy of the death certificate and proof of relationship or authority to act for the estate. Send documents to [email protected] or by post.

End of minimum commitment

If your membership included a minimum number of Direct Debit payments, you can prevent automatic renewal by giving at least 30 days' notice to Harlands Helpline after the minimum period ends, and then cancel the Direct Debit with your bank after the last payment has been taken.

Cooling-off period (14 days)

When the membership was signed up online or off-premises, you have a 14-day cooling-off period that starts the day after the contract is entered into. During this period you can cancel for any reason and receive a refund, except that if you requested services during the 14 days Harlands or the club may keep a proportionate amount to cover those services. This is set out by the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

Before cancelling: negotiate

There are no widely published retention offers from Harlands in the research. To ask for a retention offer, contact your club or Harlands by email at [email protected] and request details of alternative packages, freezing options and transfer options. Ask for a written summary of any offer including price and duration, and set a 7 day deadline for the club to respond. Keep copies of all messages.

Harlands does not set fixed retail prices, but membership schemes managed by Harlands typically range from £8 to £25 per month, and appliance warranty schemes typically range from £10 to £20 per month.

Example 1 - switching from a Harlands-managed plan at £25 per month to the cheapest competitor in our list (Taxmo at £9.99 per month): £25 x 12 = £300 per year. Taxmo: £9.99 x 12 = £119.88 per year. Yearly saving: £300 - £119.88 = £180.12 per year.

Example 2 - cancelling a lower-cost Harlands plan at £8 per month and moving to Taxmo: £8 x 12 = £96 per year. Taxmo: £119.88 per year. Difference: you would pay £23.88 more per year to use Taxmo compared with an £8 Harlands-managed plan.

Key laws and regulator

United Kingdom consumer law applies. Cooling-off and refunds

The Consumer Contracts Regulations 2013 give a 14-day cooling-off period for contracts concluded online or off-premises. If you cancel within 14 days you are entitled to a refund; if services were provided at your request during that period Harlands or the club may keep a proportionate amount for services provided.

Auto-renewal and unfair terms

The Competition and Markets Authority (CMA) treats hard-to-cancel subscriptions and unclear auto-renewal terms as potential unfair practices. If Harlands or a club uses unfair contract terms you can raise a complaint with Citizens Advice and, where appropriate, the CMA.

If payment was by credit card, consider Section 75 or a chargeback via your card issuer. 4. If the matter concerns regulated sectors, contact the relevant ombudsman.

Check final billing

Confirm the date of the last Direct Debit and check your bank statements for any unexpected collections. If a payment was collected after cancellation you should expect a refund within three weeks according to Harlands' refund guidance in live research.

Cancel Direct Debit with your bank

After the final contractual payment has been taken, cancel the Direct Debit mandate with your bank and keep the bank cancellation confirmation as proof.

Data and re-activation

Request a copy of your account data from Harlands if you need it for evidence. Fees for re-activation are not publicly disclosed by Harlands. Contact [email protected] for details.
