Core service

Xero is cloud accounting software for small and micro businesses. It handles invoicing, bank feeds, VAT, expense tracking and basic payroll integrations suitable for sole traders and small teams.

Who uses Xero

Target customers are micro and small businesses with 1-20 employees, including sole traders and accountants who manage multiple client organisations.

Key positioning

Xero positions itself as a full featured accounting platform with tiered plans and per-user options for growing businesses. Pricing and plan structure can be found on Xero's pricing pages.

Web (My Xero / Subscriptions & Billing)

1. Sign in to your Xero account at your usual company organisation.
2. From the organisation, open the My Xero or Subscriptions & Billing area.
3. Locate your subscription and select Cancel or Manage subscription, then follow the on-screen confirmation.
4. Keep a screenshot or PDF of the confirmation screen and any confirmation email.
5. Your account will remain active for 1 month after notice; billing continues for that period.

iOS (App Store)

1. Open Settings on your iPhone or iPad or open the App Store app.
2. Tap your Apple ID, then Subscriptions, find the Xero subscription and tap Cancel Subscription.
3. Retain the App Store cancellation confirmation email or screenshot.
4. If Xero also holds a direct subscription, sign in to Xero and cancel from My Xero to ensure account cancellation.

Android (Google Play)

1. Open the Google Play Store, go to your account and then Subscriptions.
2. Select the Xero subscription and choose Cancel subscription.
3. Keep the Play Store confirmation or screenshot.
4. If you also have a direct Xero subscription, cancel it from My Xero.

Email

1. Compose an email from the account owner email address to [email protected].
2. Include company name, organisation ID, billing email and an explicit request: "Please cancel our Xero subscription with 1 month notice."
3. Send and keep the sent email copy and any reply from Xero.

Post

1. Prepare a signed letter including company name, organisation ID, billing email and the cancellation request.
2. Send by registered post to: Xero, 170 Midsummer Boulevard, MK9 1BP Milton Keynes, United Kingdom.
3. Keep the registered post receipt as proof of notice.

Moving / change of business location

Xero does not publish a special rule that allows immediate termination for business relocation. Use the standard 1 month written notice to cancel. Provide proof of relocation only if you are seeking a pro rata refund under a specific offer and Xero’s offer details permit it.

Price increase

If Xero increases the price and you consider this a contract variation, keep the official price change notice from Xero. Under UK consumer law you may treat a significant contract variation as grounds to cancel if the change is material. Provide a copy of Xero's price change notification as proof.

Death of subscriber

Xero’s public materials do not list a dedicated death policy. For business accounts, the estate or company officer should provide a death certificate and proof of authority to act for the estate or company and request cancellation by email or post. Xero's published terms do not list detailed steps for this scenario.

Legitimate ground (service failure)

Under the Consumer Rights Act 2015 services must be performed with reasonable care and skill. If Xero fails to deliver the contracted service you should document errors, dates and support correspondence. If the failure continues, use this evidence to seek contract termination or remedial action.

End of commitment

If you are on a monthly plan there is no minimum beyond the 1 month notice. For annual plans Xero’s published terms state no refunds for unused portions; you must give notice in line with the contract. Keep a copy of the contract or offer terms that state any minimum commitment.

Cooling-off period (14 days)

For contracts concluded online, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 give a 14-day cooling-off right for distance contracts. If you consented to immediate performance within the 14 days, Xero can charge for the service supplied up to cancellation. To rely on the cooling-off right, notify Xero in writing within 14 days and state cancellation under the Consumer Contracts Regulations 2013.

Before cancelling: negotiate

Research does not report any standard retention offers from Xero. If you want a discount, contact Xero support or billing via the email [email protected] or the web subscription area and request any available retention pricing or switching offers. Suggested script: "We are considering cancelling due to cost. Do you have a retention offer, discounted rate or timed promotion to keep our account?" Keep written confirmation of any offer.

What cancellation saves you - yearly math

Use the listed monthly prices to compute annual cost and savings. Examples below show Xero monthly price x 12 and one cheap alternative annual cost.

Xero Ignite: 18 x 12 = 216 per year.

Relentify (Sole Trader introductory): 0.63 x 12 = 7.56 per year. Difference: 216 - 7.56 = 208.44 saved per year by switching from Xero Ignite to Relentify at the stated prices. Note: Relentify introductory price applies to the initial offer period.

Xero Simple: 7 x 12 = 84 per year. Vupiy Pro: 12 x 12 = 144 per year. Difference: 144 - 84 = -60 (Xero Simple is cheaper by 60 per year than Vupiy Pro).

When calculating savings include VAT where applicable and confirm current promotional prices on the competitor site before switching.

Relevant UK consumer law

The main laws that apply are the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 for cooling-off and the Consumer Rights Act 2015 for service quality and unfair contract terms.

Auto-renewal and unfair practices

The Competition and Markets Authority flags unclear auto-renewal terms and hard-to-cancel subscriptions as potentially unfair. Xero must give clear cancellation information and cannot rely on unfair cancellation penalties under the Consumer Rights Act 2015.

Escalation steps

1. Complain in writing to Xero and keep evidence. 2. If unresolved, get advice from Citizens Advice. 3. Where applicable, consider chargeback or Section 75 claim with your card issuer for qualifying card payments. 4. For regulated disputes contact the relevant ombudsman if it applies to the payment method or sector.

Export your data

Before access ends export invoices, contacts, payroll history and VAT reports. Use Xero export tools in Settings to download CSVs or PDFs. Keep encrypted backups off-platform.

Final billing

You will be billed for services supplied up to the termination date, including the 1 month notice. Xero’s public terms state no refund is due for termination by the user; keep your final invoice for records.

Re-activation and downtime

If you re-subscribe you will be able to re-activate the organisation; check current pricing on Xero’s pricing pages. Re-activation may create a new billing period and any historical access depends on Xero’s retention policy.
