Cancel by reason

Moving (change of residence or country)

If you move and need a different regional subscription, contact Microsoft support or manage your subscription settings online. Provide proof of new address such as a utility bill or official ID if requested by support. Applicable law where relevant: Consumer Contracts Regulations 2013 for contract information and rights.

Price increase

If Microsoft notifies you of a price increase you did not accept, you may cancel the subscription as a response to the unilateral change. Keep the price increase notice as proof. The Digital Markets, Competition and Consumers Act 2024 requires a renewal cooling-off notice for each automatic renewal; see the Act.

Death of the subscriber

When the subscriber dies, contact Microsoft support and provide a death certificate and proof of authority for account access (probate or executor documentation). The trader must cease future obligations on termination; see Section 261 of the Digital Markets, Competition and Consumers Act 2024 at legislation.gov.uk.

Legitimate grounds accepted by Microsoft 365

Microsoft accepts cancellation requests via the account management flows, and for purchases made through Apple or Google requires cancellation through those stores. For prepaid retail subscription codes, refunds are subject to the retailer return policy and are not covered by Microsoft’s refund policy. Keep purchase receipts or order numbers as proof.

End of commitment or fixed-term plans

For business and enterprise plans billed yearly there is usually an annual commitment. Provide your billing or contract reference when requesting cancellation at the end of the commitment period.

Cooling-off period

For online purchases made in the UK you have a 14-day cooling-off right under the Consumer Contracts Regulations 2013 for most contracts concluded online. If digital content was accessed and you gave express consent to start immediate access, the digital content exception may apply. The Digital Markets, Competition and Consumers Act 2024 also provides rights around renewal cooling-off periods.

Negotiate or save

Before you cancel: negotiate

Research does not show documented retention offers publicly listed by Microsoft 365. To request a retention or discount offer follow these steps: contact Microsoft support via account management or chat, explain why you will cancel (cost, changed needs), and ask if a discounted rate, a trial of a different plan or a billing adjustment is available. If your subscription was purchased through Apple, Google or a retailer, ask them about their retention options.

What cancelling saves

Compute yearly cost or savings by using plan pricing. Use the published plan prices below and show the math.

Microsoft 365 Personal: annual price published £84.99. Annual savings if you cancel a paid Personal subscription: £84.99 per year.

Microsoft 365 Family: published annual price £104.99. Calculation: £104.99 per year.

Microsoft 365 Business Basic: monthly £5.40 x 12 = £64.80 per year.

Microsoft 365 Business Standard with Copilot: monthly £18.10 x 12 = £217.20 per year.

Microsoft 365 Business Premium with Copilot: monthly £24.60 x 12 = £295.20 per year.

Microsoft 365 E3: monthly £33.50 x 12 = £402.00 per year.

Cheapest real alternative from competitors in the research: Zoho Workplace Standard billed yearly at an equivalent £2.40 per month billed yearly. Calculation: £2.40 x 12 = £28.80 per year. Example saving if you move from Microsoft 365 Personal (£84.99) to Zoho yearly: £84.99 - £28.80 = £56.19 saved per year.

What to do after cancelling Microsoft 365

Access and data

After cancelling, keep copies of your files. If your subscription ends and you no longer have paid OneDrive storage, your files will remain but access to edit online may be limited and you may be subject to storage limits until you remove files or buy storage. Export critical emails and documents before the subscription ends.

Final billing and refunds

If you are eligible for a refund, Microsoft’s published policy allows refunds within 30 days of the initial purchase or before the first recurring billing date. A refund of the most recent recurring billing charge is possible if the subscription is cancelled within 30 days after payment, limited to one time per Microsoft account per subscription product. See the official Microsoft refund policy at Microsoft refund policy.

Reactivating or switching plans

You can reactivate a cancelled subscription by signing back into your Microsoft account and following the purchase steps, or select a different plan in Services & subscriptions. Keep billing receipts if you switch between account types.

Next steps and practical checklist

Use this checklist to complete cancellation and protect your data.

  • Sign in to account.microsoft.com and cancel under Services & subscriptions or follow the App Store/Google Play flow if purchased there.
  • Take a screenshot of any cancellation confirmation page or save confirmation email.
  • Export important files from OneDrive, Outlook and Teams before access changes.
  • Check eligibility for a refund within 30 days from Microsoft and request it via account support or the refund policy page.
  • If purchased via a retailer, contact the retailer and keep purchase receipts.
  • If sending post, use registered post to Microsoft 365, Thames Valley Park, RG6 1WG Reading, United Kingdom and save the proof of postage.
  • If you cannot resolve the issue with Microsoft, contact Citizens Advice and consider Section 75 or a chargeback through your card issuer for qualifying payments.
