Company facts

Web (direct from Microsoft)

1. Sign in to your Microsoft account at account.microsoft.com.
2. Open Services & subscriptions.
3. Find the Microsoft 365 subscription you want to cancel.
4. Click Manage, then choose Cancel.
5. Follow on-screen prompts; Microsoft will indicate refund eligibility during the process.

iOS - App Store purchases

1. Open the App Store on your iPhone or iPad.
2. Tap your profile icon and then Subscriptions.
3. Locate the Microsoft 365 subscription and tap Cancel.
4. Keep Apple confirmation email as proof of cancellation and any refund.

Android - Google Play purchases

1. Open Google Play Store.
2. Tap Menu, then Payments & subscriptions, then Subscriptions.
3. Select Microsoft 365 and Cancel subscription.
4. Keep Google Play confirmation email for proof and refund requests.

Phone

1. If you purchased directly from Microsoft, contact Microsoft support through your account portal for a voice call option.
2. If purchased via a retailer (Amazon, resellers), contact that retailer's customer service to cancel recurring billing.
3. Record the call reference number and request an email confirmation.

Post

1. Write a clear cancellation request including account email, subscription name and desired end date.
2. Send as registered post to: Office 365, Crown Way, CF14 3UZ Cardiff, United Kingdom.
3. Keep the proof of postage and any letter returned by Microsoft.

Moving / relocation

If you move to a country where the specific Microsoft 365 plan is not available, provide proof of new address such as a utility bill or tenancy agreement. Microsoft will review eligibility for termination or plan change. Applicable law: Consumer Contracts Regulations 2013 for online purchases when change of circumstances affects supply.

Price increase

If Microsoft increases the recurring price for your existing subscription, you have the right to cancel before the new price takes effect. Provide the renewal notice or billing statement showing the price change. Applicable law: Digital Markets, Competition and Consumers Act 2024 and CMA guidance on unfair auto-renewal.

Death of subscriber

Immediate family members should send a copy of the death certificate and proof of account relationship to Microsoft's support for account closure and data access instructions.

Legitimate grounds accepted by Microsoft

Microsoft accepts cancellation for non-delivery of services, significant changes to agreed features, or legal prohibitions. Provide supporting documents that show the issue e.g. service outage evidence or official notices. Applicable law: Consumer Rights Act 2015 (services must be performed with reasonable care and skill).

End of commitment

For plans with an annual commitment, the contract ends at the expiry date shown in your account unless you cancel before auto-renewal. Check Services & subscriptions for the expiry date and cancel before that date to prevent renewal.

Cooling-off period

For online purchases you have a 14-day cooling-off period under the Consumer Contracts Regulations 2013. If you started using downloadable or streaming digital content and gave express consent to immediate start, the digital content exception applies and you lose the right to a refund for that download or streaming after consent.

Before you cancel: attempt to negotiate

Contact Microsoft support via your account and ask for retention offers by explaining your reason to cancel. Research does not list standard retention discounts publicly; Microsoft sometimes presents refund eligibility or credit during the cancellation flow. If you want a lower price, ask explicitly for any available promotional or loyalty pricing during the support call or chat. Keep written confirmation of any new offer.

What cancelling saves you

Compute your yearly saving using current plan prices.

Example 1 - Microsoft 365 Personal: £7.08 per month or £84.99 per year. Annual cost: £84.99.

Example 2 - Microsoft 365 Family: £8.75 per month or £104.99 per year. Annual cost: £104.99.

If you cancel Microsoft 365 Family (£104.99 per year) and switch to Google Workspace Starter at £5.90 per user per month (annual commitment), the competitor yearly cost for one user is: 1 user x £5.90 x 12 = £70.80 per year.

Saving calculation switching Family to 1-user Google Workspace Starter: £104.99 - £70.80 = £34.19 saved per year.

If you cancel Microsoft 365 Personal (£84.99 per year) and use free LibreOffice (£0), saving is £84.99 per year.

Key UK consumer laws

The main protections are the Consumer Rights Act 2015 (services must be performed with reasonable care and skill) and the Consumer Contracts Regulations 2013 (14-day cooling-off period for most online contracts). The Competition and Markets Authority (CMA) enforces rules on unfair auto-renewal and hard-to-cancel subscriptions. End of contract notice and refunds

When you cancel a subscription the trader must provide an end of contract notice that specifies the cancellation date and required information on a durable medium. For online cancellations the notice must be provided within 24 hours; for other forms within 3 working days. If Microsoft has accepted an overpayment you are entitled to a refund for that overpayment under the consumer law summarized above. How to escalate

Step 1: Complain to Microsoft via your account chat, phone or support form. Step 2: If unresolved, seek advice from Citizens Advice and the CMA. Access and expiry

After cancellation you will typically retain access until the end of the paid billing period shown in Services & subscriptions. If you received a refund access may end immediately. Save or export files before expiry.

Data export and mailbox

Download important files from OneDrive and export emails from Outlook. After cancellation cloud storage may revert to free limits: OneDrive reduced to 5 GB and Outlook.com to 15 GB. Shared users on Family or Premium lose increased storage allowances when shared subscription ends.

Re-activation

You can re-subscribe at any time by purchasing a new plan. Re-activation may require signing in and choosing a plan. Any promotional pricing previously used may not be available.
